Job description: Our client is looking to hire a storeman who will be responsible for dispatching, receiving and warehousing stock accurately and efficiently. FUNCTIONAL COMPETENCY REQUIREMENTS:

  • National Diploma Logistics advantageous.

KEY PERFORMANCE AREAS:Warehouse supervision

  • Supervise processes and workflow for Machine Storeman and Consumable Storeman.
  • Ensure good housekeeping in the whole warehouse.
  • Ensure accurate labelling of all machines, spares and consumable items per their allocations in the warehouse.
  • Ensure warehouse is packed in a logical and orderly fashion.
  • Ensure the security of the warehouse facility and any offsite storage. Take responsibility for stock management, control, and security by ensuring cages are locked at all times and only one person has access to the key at a time.
  • Ensure SHEQ processes are followed, and stock is stored in a safe manner to protect stock and staff.
  • Most importantly, ensure all stock workflows are accurate and all stock (machines, consumables, and spares) only move with the correct paperwork so physical stock always balances to the stock in the financial system.

Procurement of stock

  • Ensure that supplier agreements with all suppliers are in place and valid. Identify low-cost suppliers by obtaining 3 quotes for consumables and other stock if new suppliers are to be selected.
  • Prepare accurate purchase orders for review monthly by the 25th by using the Local Min/Max Stock Report.
  • Submit report and PO’s to GM for timeous approval to place all orders.
  • Responsible for updating and keeping Local Min/Max Stock Report accurate.
  • Ensure NO STOCK-OUTS for local consumable range on Pricelist.
  • Build good relationships with suppliers.

Dispatch of stock:

  • Managing and overseeing all aspects of picking, packing and dispatch of stock as per SOP.
  • Identifying which paperwork will allow any item to be dispatched.
  • Dispatch consumables and machines 100% accurately to correct paperwork.
  • Make sure all orders are prepared/picked by 3pm the day before and dispatched accordingly the next day as per correct paperwork.
  • Ensure efficient dispatch of Technicians by 8am every morning according to their route cycles prepared by Technical Administrator.
  • Ensure efficient dispatch of Driver by 8am in conjunction with Orders Clerk to ensure commitments are honoured.
  • Ensure correct goods are dispatched to correct customers as per correct paperwork.
  • Check goods are in good condition before packing or dispatching.
  • Update traceability reports to ensure that batches can be tracked.
  • Key function is ACCURACY.

Receiving:

  • Managing and overseeing all aspects of receiving stock as per SOP.
  • Identifying which paperwork will allow any item to be received.
  • Receive and count consumables and machines with 100% accuracy to correct paperwork.
  • Submit all identified paperwork to the relevant departments to generate the receipt of stock in the system.
  • Make sure no stock leaves the receiving cage into the Warehouse without the correct paperwork generated from the relevant department from the system.
  • Ensure that all receipt related administration is well managed, and that all relevant documentation is returned and filed (supplier invoices/credit notes etc).
  • Ensure branch transfers are received and that the Finance procedures (SOPS) are followed.

Team supervision

  • Supervise the 3 x Stores Assistants and 1 x consumable driver to ensure that the workload is performed timeously and accurately.
  • Carrying out of biannual staff appraisals.
  • Ensure training needs are identified and actioned.

Maintain vehicles (company fleet vehicles)

  • Oversee the maintenance of company vehicles (Johannesburg, Cape Town and Durban) by tracking the services of all vehicles through a Repairs Tracker document.
  • Ensure all vehicles are inspected regularly. Submit a weekly report of inspections to GM and make sure all issues are addressed from inspections and repairs are done.
  • Ensure all drivers have signed the vehicle policy and have current driver’s licenses before doing a vehicle inspection.
  • Allocate fines for vehicles by checking dates and vehicles used on daily route sheets. Ensure that fines are paid by Finance and the responsible driver completes a loan form to pay for their fines.
  • Ensure vehicle licenses are kept up to date and managed. Create and update a tracker for license renewals.
  • Ensure that all drivers maintain clean, safe, and roadworthy vehicles always.

Building maintenance

  • Address areas of concern or work that needs to be done on/in the building as you become aware of them or they are brought to your attention.
  • Identify contractors and suppliers to address maintenance issues.
  • Always get three quotes and obtain approval on quotes selected and approved by the GM.
  • Arrange for maintenance work to be completed.
  • Ensure that all work is performed satisfactorily and follow up with contractors where required.
  • Provide feedback to GM.
  • Specifically maintain alarm and back-up power for the alarm.
  • Ensure generator always has fuel and is serviced regularly.
  • Take responsibility for generator schedule to manage service dates.
  • Ensure the generator is switched on and off correctly and the mains are adjusted accordingly.

KEY PERFORMANCE INDICATORS: * Fully responsible for the stock holding of machines, consumables and spares stock.

  • Ensure that ALL stock dispatched is accurate against identified dispatch documentation with 100% accuracy.
  • Ensure that ALL stock received is accurate against identified receipt documentation with 100% accuracy.
  • Ensure that stock procurement is managed and that we are never out of stock or over stocked on all local stock items.
  • Ensure that there is only a 5% variance on the number of SKU’s and the total value from all stock takes.
  • Implement and manage traceability report to track each batch for each SKU.
  • Familiarity of all stock items is essential.
  • Coordinate efficiencies of warehouse staff ensuring accuracy and skill of staff.
  • Ensure MACHINE AVAILABILITY LIST is always accurate.
  • Ensure that fleet vehicles are 100% roadworthy, licensing of vehicles are always up to date and all repairs are done within 7 days of being made aware of an issue.
  • Ensure that fines are allocated correctly, paid 100% on time and loan forms are completed by responsible driver.
  • Ensure that vehicles are always in good condition and reports for vehicle checks and vehicle tracker are submitted monthly to GM.

Salary:

  • R19 000 per month with a R2 000 increase on successful completion of probationary period.
  • This is a critical role and hence the successful candidate must be able to start immediately.
