Position Summary

The OETA Project Coordinator position is responsible for managing the tracking, coordination, and payment of the workshops in the Online Excellence Teaching Academy (OETA). The Online Excellence Teaching Academy (OETA) is an initiative established by Bellevue College that supports faculty who teach online through professional development offered as a series of required courses.

Reporting to the Associate Director of Instructional Design, the position works with a team on the project to launch the Online Excellence Teaching Academy. The position will coordinate multiple projects of varying scope and size simultaneously working across teams. This is a project position with funding for one year.

Pay, Benefits & Work Schedule

Annual Salary Range: $59,274 – $82,984.

Annual salary will be commensurate with candidate’s qualifications and related experience.

About the Department

The eLearning department supports all faculty teaching online, hybrid and on-ground classes, and all students using Canvas. The eLearning team includes Digital Learning and Multimedia Services. Our Digital Learning Services provide faculty guidance to enhance online content for more effective student engagement and retention. We encourage creative application of technology through on-going faculty training. We provide online instructor-led and online self-paced workshops, and walk-in Canvas training and support for students and faculty. We provide year-round online Advising. Our Multimedia Services include our Multimedia and eLearning team members who support instructional goals by providing the latest reliable presentation technology support for college events, meetings, conferences, and campus programs for faculty, staff, and students.

Essential Functions

Manage Scheduling, Tracking, Communication, and Data of OETA Trainings

  • Manage the implementation of the new tracking system for training program and projects (i.e. writing and sending communications, conducting research, monitoring progress through statistical reports)
  • Guide faculty in understanding and meeting the Online Excellence Teaching Academy (OETA) training requirements.
  • Maintain the tracking databases with necessary personnel data. Build reports and graphs to display information relevant to completion of tasks and communicating data to department leadership.
  • Create training schedules for all workshops, track and create reports on outcomes of all training, and maintain all training records in all tracking systems: Badgr, Canvas and Bridge.
  • Inform faculty on scheduled training and track their progress. Prompt faculty to complete the requirements and meet deadlines.
  • Manage and track Canvas enrollments, copy Canvas course content into multiple course sections and ensure that the course is ready to receive students.
  • Track and process payment for faculty completions in CTC link.
  • Forward faculty completion to division deans and division directors.
  • Coordinate room reservations or online Zoom sessions for upcoming training sessions for Quality Matters (QM) trainings and other workshops.
  • Serve as the main point of contact for the OETA project both with faculty, staff and leadership.

Consultation & Support

  • Understand, analyze and diagnose user requests and resolve problems in a timely manner.
  • Using data from Canvas and Badgr prepare weekly reports and present findings to a variety of end users.
  • Prioritize and maintain multiple assignments with fluctuating and time-sensitive deadlines.
  • Assist eLearning to generate reports on user training completion, providing certificates and payments for workshop.

System Support Management

  • Assist with system administration for eLearning platforms such as the learning management system, conference tools, accessibility tools, desktop publishing, video creation, copyright checking and plagiarism.

Other

  • Perform other duties as assigned.

Minimum Qualifications

  • Bachelor’s Degree in Information Systems, Business, or a related field (B.A. or B.S.) from an accredited college or university. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
  • One (1) year of experience working with Canvas or another LMS system in any role.
  • One (1) year of large-scale project management experience with at least 500 users.
  • Advanced skills with Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook as well as Adobe Acrobat. Demonstrated ability to build spreadsheets, pivot tables, use equations, and execute email merges
  • Experience creating and running scheduled and ad-hoc reports, such as monthly course completion reports, training evaluation metrics reports, and training surveys.
  • Demonstrated ability to work effectively with databases, identify tools and use visual aids like Tableau and Excel, to create Dashboard views. Demonstrated knowledge of database management.
  • Effective problem-solving and organizational skills.
  • Demonstrated experience working with diverse colleagues and/or students in a collaborative and inclusive environment
  • Effective written, verbal, and interpersonal and communication skills
  • Demonstrated ability to multi-task, manage workloads, and meet deadlines in a fast-paced, flexible work environment.

Preferred Qualifications

  • One (1) year of Learning Management System Administration experience.
  • Demonstrated knowledge of all the modalities of learning and how to make online learning accessible for all learners.
  • Effective skills in researching and analyzing eLearning programs.
