Job description: Position SummaryThe Information Access Assistant with the Health Information Management department will assume full oversight to the information access front desk reception function in the Health Information Management Department. Incumbent must have exceptional customer service skills, comprehensive knowledge of medical terminology, strong ability to multi-task and willingness to act in a patient-family centered manner as a release of information ambassador. Strong phone skills, as well as face-to-face communication skills are essential.The selected candidate will be expected to work IN PERSON/ON SITE in Commack 5 days a week.Duties of an Information Access Assistant may include but are not limited to the following:

  • Prompt and courteous handling of incoming calls to the release of medical information area of the Health Information Management Department.
  • Provides assistance to patients/family members with requesting medical records, including assessing their needs with a customer focused resolution will be the goal.
  • Retrieve facsimile inquiries in a timely manner; prepare work orders for stat patient care, and route appropriately to ROI vendor.
  • Ability to adapt to ongoing changes and respond to difficult and challenging situations in a professional manner.
  • Assist callers with the Patient Portal.
  • Process requests for medical records from attorney offices, hospitals and physician practices. Prepare work orders for contracted ROI Services.
  • Open and sort mail
  • Maintain office equipment in working condition and troubleshooting any issues accordingly in collaboration with the administrative assistant.

QualificationsRequired Qualifications:

  • Associate’s degree in a healthcare related field or, in lieu of an Associate’s degree, at least 2 years of relevant experience
  • Strong demonstrated knowledge of medical terminology
  • Excellent organization, oral and written communication skills.

Preferred Qualifications:

  • Associate’s degree in Health Information Technology or Business Management
  • Associate’s degree in HIM or HIT with a RHIA or RHIT credential
  • Bilingual in English and Spanish
  • Strong, demonstrated knowledge of HIPAA and HIM related regulatory requirements

Prior to start date, the selected candidate must meet the following requirements:

  • Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine’s Employee Health Services*
  • Complete electronic reference check with a minimum of three (3) professional references.
  • Successfully complete a 4 panel drug screen*
  • Meet Regulatory Requirements for pre employment screenings.
  • Provide a copy of any required New York State license(s)/certificate(s).

Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.

The salary range (or hiring range) for this position is $54,101 – $62,424 / year.The above salary range represents SBUH’s good faith and reasonable estimate of the range of possible compensation at the time of posting. The specific salary offer will be based on the candidate’s validated years of comparable experience. Any efforts to inflate or misrepresent experience are grounds for disqualification from the application process or termination of employment if hired.
Some positions offer annual supplemental pay such as:

  • Location pay for UUP, CSEA & PEF full-time positions ($3400)
