Job title: FM Admin Coordinator

Job description: Responsibilities:Coordinate all administrative activities related to FM handover processes, including data entry, document control, and records management.Track handover documentation such as asset registers, as-built drawings, warranties, manuals and snagging reports.Liaise with internal departments and external contractors, consultants and service providers to ensure timely receipt and validation of handover deliverables.Support the FM team in maintaining trackers, dashboards, and reporting tools to monitor handover progress and compliance.Schedule and organize meetings, site inspections, and handover sessions with relevant stakeholders.Assist in preparing presentations, meeting minutes, and reports as required.Maintain and organize filing systems to ensure easy retrieval and compliance with audit requirements.Follow up with teams to ensure closeout actions and outstanding documentation are completed within deadlines.Ensure adherence to handover policies, procedures, and quality standards.Required SkillsBachelor’s degree in business administration, Facilities Management, Engineering, or any related field (preferred).Minimum of 3 years of administrative experience in construction, engineering, or FM environments.Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)Excellent communication and interpersonal skills.Strong attention to detail, time management, and organizational abilities.Ability to work under pressure and manage multiple priorities in a fast-paced environmentFamiliarity with FM handover procedures within construction or real estate development projects.Exposure to large-scale projects or working with developers, consultants, or contractors
Expected salary: 5000 – 6000 per month
