The Role
The Delivery Network Coordinator is central in providing holistic support to our Delivery Network. The Delivery Network delivers Black Dog Institute’s (BDI) suite of mental health education and training programs nationally, comprised of expert clinical (medical professionals and psychologists) facilitators and lived experience presenters.
This position is actively involved with recruitment, induction and training of the Delivery Network as well as coordinating their ongoing engagement and delivery of programs. The role supports the application of BDI’s Quality Assurance and Continuous Improvement Framework by monitoring and contributing to our Delivery Network quality assurance registers, reviewing and updating processes and ensuring documentation is up to date.
This role sits within the Service Engagement and Operations Department. The purpose of this department is to deliver evidenced-based services at scale to manage and prevent common mental health conditions and suicide in workplaces, schools, health settings and the wider community. Services include digital products and platforms, training, resources, and consultancy. To ensure sustainable growth, the Service Engagement and Operations Department leads the development and continuous improvement of resourcing, systems, and processes to manage delivery of services at scale.
Duties & Responsibilities
Delivery Network Support and Engagement
- Develop and maintain strong professional relationships with our Education Delivery Network
- Regular communication with the Education Delivery Network via formal and informal communication channels.
- Deliver engagement strategies in collaboration with the Engagement Manager, Delivery Network that support connection between the organisation and Delivery Network.
Delivery Network Recruitment, Training and Development
- Support the recruitment of new Delivery Network members including contributions to screening, interviewing, and onboarding.
- Coordinate ongoing training and professional development opportunities for the delivery network to ensure effective delivery of face-to-face and online workshops.
- Collaborate with the Service Engagement Team and Resource Development Team to coordinate the successful upskilling of the Delivery Network on new content.
Workshop Logistics and Administration
- Promptly and professionally respond to phone and email enquiries related to Education face-to-face and online workshops.
- Liaise with team members to secure and coordinate Delivery Network Members for face-to-face and online workshops.
- Maintain accurate education event, client, and internal stakeholder records in our customer relationship management database (Salesforce)
- Work closely with the Administration Assistants to ensure successful coordination of all workshop logistics, for example, Delivery Network travel and remuneration agreements.
- Administration of the Facilitator Invoice Approval Process and the Presenter Paid Participation Process.
- Where appropriate or assigned, contribute to the successful delivery of face-to-face and online workshop through logistical and technical support.
Skills & Experience Required
Essential Criteria
1. Demonstrated experience in a similar role and/or delivering excellent customer service, including well-developed interpersonal and communication skills with the ability to build strong stakeholder relationships.
2. Strong organisation and administration skills to effectively manage high volume workloads in peak periods.
3. Experience in developing, reviewing, and updating operational processes.
4. High attention to detail.
5. Ability to partner effectively with teammates and work well as a member of a team.
6. Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) and Customer Relationship Management (CRM) based systems.
Desirable Criteria
1. Experience working with volunteer programs.
2. Proficient in use of the Salesforce CRM.
