Job description: Randstad is currently partnering with a State Government client in recruiting for an AO5 Executive Support Officer. The current contract is 3 months with the potential for further extension. The hourly rate for this position is $62.67.

Your duties in the role include, but are not limited to;

  • Oversight and monitoring of effective time management practices for the Assistant Director-General including the coordination and arranging diary appointments, meetings and conferences, prioritising correspondence, preventing unnecessary interruptions and screening telephone calls, and receiving visitors and delegations
  • Perform secretariat functions for meetings chaired by the Assistant Director-General including preparing agendas, papers and minutes.
  • Oversee, coordinate and prepare as necessary a range of written documentation including confidential correspondence, agendas, reports, briefing papers, publications and presentations for the branch in response to Ministerial, departmental, divisional and external requests in a timely and accurate manner.
  • Oversee the analysis of incoming correspondence, allocating to relevant Executive Directors where appropriate, and providing advice on required action while ensuring deadlines and timeframes are met.
  • Oversee and coordinate the flow of correspondence throughout the branch, including distribution, receipting and tracking, to ensure the efficient and timely preparation of departmental briefs and responses.
  • Facilitate the administrative operations of the office, including the coordination of travel arrangements, exercising assigned financial, purchasing and administrative authorities.

What will you need to be successful in this role

  • Experience in an executive support/executive assistant position is ESSENTIAL
  • High level of motivation with the right skills and aptitude to provide professional support in a dynamic office environment
  • Proactivity in anticipating the needs of senior executives, accountability, ability to apply sound judgement and make reasonable decisions
  • Prioritisation skills; respond to competing and often urgent requests in a professional and efficient manner, while maintaining high work standards and accuracy
  • Ability to build cooperation and overcome barriers to information sharing, communication and collaboration
  • Confident with, and able to support others to use, digital systems and tools such as the Microsoft suite and web-based communication and collaboration tools effectively and efficiently
  • Discretion and handling of confidential and sensitive information appropriately.
