This dual role requires managing communications, coordinating schedules, organizing documents, facilitating efficient operations, and creating a welcoming environment for all visitors.Key ResponsibilitiesAdministrative Support

  • Manage the Head Administrator’s calendar, including scheduling meetings, appointments, and events
  • Screen and prioritize incoming communications (email, phone calls, correspondence)
  • Prepare documents, presentations, and reports for meetings and distribution
  • Maintain organized filing systems for both digital and physical documents
  • Serve as a liaison between the Head Administrator and other departments/staff
  • Take minutes during meetings and distribute summaries to relevant parties
  • Anticipate administrative needs and proactively resolve issues
  • Handle confidential information with appropriate discretion
  • Support special projects and initiatives as assigned

Reception Duties

  • Greet and welcome visitors in a professional and friendly manner
  • Direct visitors to appropriate staff members or meeting locations
  • Manage the front desk, including answering and routing incoming calls
  • Sign for and distribute incoming mail and packages
  • Maintain reception area appearance and organization
  • Monitor visitor access and maintain security protocols
  • Provide basic information about the organization to visitors
  • Assist visitors with signing in and obtaining visitor badges when required

Qualifications

  • Bachelor’s degree preferred or equivalent work experience
  • 3+ years of administrative support experience, preferably in a similar environment
  • Experience in a reception or customer service role
  • Exceptional organizational and time management skills
  • Strong written and verbal communication abilities
  • Professional telephone manner and excellent interpersonal skills
  • Proficiency with Microsoft Office Suite and relevant software applications
  • Ability to multitask and adapt to changing priorities

Compensation: $20,000Hours: 7:30-4:30 Monday, Tuesday, ThursdayAbout 6 evening or weekend after hours events over the course of the school year

Expected salary: $15000 – 20000 per year
