More information about UW Tacoma and its strategic plan can be foundAcademic Success Programs has an outstanding opportunity for a Program Coordinator (NE S SEIU 925 Non Supv) to join their team.The Academic Success Programs (ASP) Program Coordinator provides essential administrative and programmatic support across Academic Success Programs (ASP) units comprising a central unit (including the Associate Vice Chancellor for Student Success (AVCSS) and the Director of Advising) as well as four units: Teaching and Learning Center (TLC), Office of Global Affairs (OGA), University Academic Advising (UAA), and Office of Digital Learning (ODL). Reporting to the ASP Administrative Manager, this role is essential for supporting ASP operations with its mission to enhance student success and collaboration across units.The Program Coordinator will particularly support OGA. This is a front-facing role, serving as a Designated School Official (DSO) to support International Student and Scholar Services (ISSS) in corresponding, reviewing, and processing requests from international students, while supporting global engagement initiatives.The ASP Program Coordinator also supports advising systems and broader ASP operations, helping enhance student success initiatives, streamline processes, and foster collaboration across campus. They will be responsible for covering the front desk of a shared suite with support from student employees. This position is a vital resource for students, faculty, and staff engaging with ASP units, ensuring efficient communication, program delivery, and student support.This role requires significant collaboration with internal and external stakeholders, including faculty leading global initiatives and international students requiring tailored support. Balancing the nuanced processing demands related to F-1 student regulations with event coordination, student services, and cross-unit collaboration makes this position central to both the success of OGA and the operational efficiency of ASP.The ASP Program Coordinator’s work directly impacts the success of UW Tacoma’s students, particularly to support international students and enhance student success. This role ensures the university’s standing with federal agencies through accurate SEVIS processing while also supporting initiatives that enhance the student experience, retention, and global connections. By aligning international and campus-wide success efforts, the Coordinator strengthens the institution’s commitment to student success and inclusivity.DUTIES AND RESPONSIBILITIESInternational Student Support

  • Serve as the primary point of contact for international student inquiries, responding in person, by email, and via phone.
  • Review and process SEVIS and non-SEVIS requests submitted by international students via UW Tacoma’s ISSS portal (a Terra Dotta product.)
  • Review and process data changes of international students and run analytics using UW Tacoma’s ISSS Portal.
  • Provide event and meeting support for OGA programming and training for student assistants.
  • Attend bi-weekly ISSS staff meetings and meet 1:1 with the Director of ISSS monthly.

Front Desk and Advising Systems Support

  • In collaboration with the UAA Program Support Supervisor, manage front desk operations for ASP units, ensuring consistent staffing and support.
  • Oversee and monitor informational email accounts such as for OGA and ASP email accounts, responding directly or triaging requests to staff as needed.
  • Support the development and maintenance of ASP unit webpages, social media, and online resources such as Canvas, ensuring accuracy and accessibility.
  • Support student employees for front desk roles, and serve as a back-up for the UAA Program Support Supervisor.
  • Provide support to the UAA Program Support Supervisor and student staff with managing advising scheduling platforms and responding to general advising inquiries.
  • Maintain an approachable and professional presence at the ASP front desk to assist students, faculty, and staff.

ASP Program Support and Coordination

  • Provide logistical support for ASP events, including room scheduling, catering, and communication.
  • Support ASP initiatives by assisting with meeting coordination, data tracking, documentation, organization, and communications.
  • Serve as a backup for the ASP Program Operations Specialist, handling fiscal processes and special projects as needed.
  • Assist the ASP leadership team with scheduling, administrative support, and cross-unit coordination.
  • Other duties as assigned.

MINIMUM REQUIREMENTS

  • High school graduation or equivalent AND two years of support experience within an academic program or student services setting, OR equivalent education/experience.

ADDITIONAL REQUIREMENTS

  • Ability to work independently with minimal supervision, maintaining confidentiality and professionalism.
  • Strong interpersonal skills and excellent written and verbal communication skills.
  • Strong organizational skills with the ability to handle multiple tasks simultaneously.
  • Proficiency with Microsoft Office Suite.
  • Attention to detail with a focus on accuracy and efficiency.
  • Commitment to advancing equity and inclusion in higher education.
  • U.S. Citizenship or U.S. Legal Permanent Residency to be eligible to serve as a Designated School Official (DSO)

DESIRED QUALIFICATIONS

  • Bachelor’s degree.
  • Experience working as a Designated School Official (DSO).
  • Familiarity with academic advising and student services in a university setting.
  • Experience managing web-based communication systems.
