More information about UW Tacoma and its strategic plan can be foundAcademic Success Programs has an outstanding opportunity for an Administrative Manager to join their team.The Academic Success Programs Administrative Manager provides critical operational, fiscal, and administrative support to Academic Success Programs (ASP), comprising a central unit (including the Associate Vice Chancellor for Student Success (AVCSS) and the Director of Advising) as well as four units: Teaching and Learning Center (TLC), Office of Global Affairs (OGA), University Academic Advising (UAA), and Office of Digital Learning (ODL). Reporting to the AVCSS, this role is essential for aligning ASP operations with its mission to enhance student success and collaboration across units.This position manages the daily operations of ASP, provides executive support to the AVCSS, and oversees the ASP Program Coordinator. This position ensures the smooth functioning of ASP through effective fiscal management, administrative oversight, and program support and management.DUTIES AND RESPONSIBILITIESFiscal Oversight & Budget Management (35%)
- Manage Academic Success Programs (ASP) budgets, ensuring accuracy in financial tracking, forecasting, and reconciliation.
- Collaborate with unit leads to develop annual budgets and monitor expenditures.
- Provide support to ASP staff on fiscal processes, including procurement, travel, and reimbursements.
- Monitor expenditures, in collaboration with unit-level operations support staff.
- Prepare financial reports and analyses for the Associate Vice Chancellor for Student Success (AVCSS), highlighting trends and opportunities.
Executive Support (25%)
- Assist the AVCSS with scheduling, meeting preparation, and correspondence.
- Manage communication in collaboration with the AVCSS, ensuring timely and transparent information, responses, and follow-ups.
- Coordinate logistics for initiatives led by the AVCSS, including scheduling, communication, and documentation.
- In collaboration with the AVCSS, create reports and visualizations of student success assessment data.
- Act as a liaison between the AVCSS and ASP units, ensuring clear, timely, and effective communication.
Operations & Administrative Management (20%)
- Oversee administrative processes for ASP, ensuring consistency and efficiency across all units.
- Develop and implement operational policies in collaboration with unit leaders.
- Supervise the ASP Program Coordinator, providing guidance, support, and professional development opportunities.
- Provide support to ASP Program Coordinator and projects as needed.
Communications and Projects (20%)
- Coordinate the creation of quarterly reports for the unit, including a newsletter and student data updates.
- Lead process improvement initiatives to enhance operational efficiency across ASP.
- Support cross-unit initiatives, including the Student Success Strategy and the Academic Advising Leadership Council.
- Other duties as assigned.
MINIMUM REQUIREMENTS
- Bachelor’s degree and two years minimum of experience in administrative operations, fiscal management, or a related area.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.ADDITIONAL REQUIREMENTS
- Experience providing executive support, which could include scheduling, process development, and correspondence management.
- Proven ability to supervise staff and foster professional development.
- Strong proficiency with Microsoft Office Suite and financial software.

DESIRED QUALIFICATIONS
- Experience working in a higher education environment.
- Familiarity with UW systems and processes (e.g., Workday, BI Portal).
- Experience leading process improvement or assessment/effectiveness initiatives.
- Proficiency in data management or visualization software, such as Power BI.
- Demonstrated ability to produce internal communications, such as newsletters.
- Knowledge of student success programs and their assessment in higher education.
