Job description: We are currently seeking a part-time Administration Support Officer to join our team at headspace Emerald. Our Administration Officer will be the first point of contact for inquiries at headspace Emerald and will provide a broad range of administration support functions.
What will a typical day look like?
- Provide day-to-day reception and administrative support.
- Make appointments for young people, including SMS reminders and maintaining waitlists.
- Meet and greet visitors to headspace Emerald while maintaining a clean, safe, and inviting environment.
- Maintain Excel spreadsheets (registers), establish MDS surveys (hAPI app) and extensive use of the Electronic Medical Record (EMR) system.
- Transcribe letters and reports, scan files as required.
- Ensure all incoming phone calls are attended to in a prompt, courteous and youth-friendly manner.
- Provide information to young people, their families and friends presenting to headspace Emerald, ensuring that all enquiries are dealt with in a confidential and sensitive manner.
- Assist in the setup and pack up of the centre, ensuring rooms and facilities are left clean and tidy each day.
- Assist management to identify, establish and improve administrative processes.
- Operation, maintenance, and security of the filing system.
- Support the local clinical services team with diary management, client appointments, room bookings, catering, travel bookings and support and maintenance of databases.
- Maintain accurate financial records including petty cash, expenditure, reconciliations, and requests for reimbursement as required.
- Coordinate incoming and outgoing mail.
Mandatory Requirements:
- Full COVID-19 Vaccination
- Ability to obtain a Blue Card (working with children check positive notice or exemption)
- Ability to obtain a Yellow Card (disability services positive notice or exemption notice)
- Certificate III in business/office administration (or related discipline) and experience in a similar position; or
- A minimum of 2 years relevant experience and willingness to achieve a Certificate III in the recommended time from enrolment.
