With an annual expense budget of $29M and endowment net asset of $99M.The Finance Department manages accounting, budgeting, financial reporting, and its operational aspects of the entire organization. Reporting to the Sr. Finance Manager, the Accounts Payable Coordinator is responsible for completing payments while adhering to tight deadlines. The responsibilities include verification and reconciliation of invoices, monitoring expenses and cash outflows, preparation of tax forms, effective communication with external & internal stakeholders, and administration of the vendor payment system. In addition, completing accurate processing of invoices and payments. Ensuring payments are processed in a timely manner so that vendors are paid in full and prevent late fees or cancellation of services and provide customer service to vendors and BAM’s internal stakeholders to accurately resolve payment issues and disputes.Essential Duties and Responsibilities:

  • Accurately create and maintain vendor detail profile
  • Accurately review and process pre-vouchers and ensure the accuracy of GL coding and necessary authorized workflow approvals.
  • Manage weekly computerized check runs.
  • Prepare and upload positive pay files to the on-line banking system (Cashpro) and create a weekly EFT file to be provided to Sr. Finance Manager for submission.
  • Accurately initiate and process domestic and foreign currency wire and ACH payments.
  • Ensure that all necessary withholdings are deducted from wire payments and inform Sr. Finance Manager of the withholdings to be sent to the IRS.
  • Maintain 1042 information which includes updating spreadsheet and saving tax forms for annual filing.
  • Act as liaise for vendors following up on statuses of invoices.
  • Responsible for maintaining A/P files and records in an organized manner.
  • Maintain Accounts Payable Workflow within the financial system module.
  • Responsible for facilitating AP training sessions for new Multiview users
  • Process annual 1099 forms, which include preparing & issuing to vendors, sending electronic files to the IRS, while meeting all appointed deadline.
  • Assist with year-end audit & inspections of A/P activity.
  • Reconcile and report on stale checks on a continuous basis to supervisors.
  • Perform monthly reconciliations of all assigned balance sheet accounts and A/P aging.
  • Assist with special projects including development and implementation of new procedures and features to improve operational efficiency of the department
  • Perform other duties and responsibilities including ad-hoc projects as needed

Qualifications

  • Bachelor’s degree, or equivalent work experience
  • Minimum of 2-3 years of relevant related work experience in Accounting, Business Management & Finance, or other similar area required
  • Knowledge of Multiview or similar databases preferred
  • Proficiency in MS Excel and MS Word
  • Strong interpersonal and customer service skills required.
  • Capable of managing multiple work streams while being highly organized. Work well under pressure and tight timelines in a fast-paced environment.
  • High level of integrity and ethical standards; excellent attention to detail and accuracy. Capable of keeping sensitive information confidential.
  • Team player who strives to achieve shared goals.
  • Ability to think critically and solve problems proactively.
  • Demonstrated commitment to anti-oppression.
  • Experienced in DEI concepts, programs, and initiatives.

Compensation: The salary for this position is $54,000 – $58,000 per year. This role is represented by Local 2110 and will be paid in accordance with the BAM/UAW Local 2110 Collective Bargaining Agreement. This position is full-time, non-exempt, and eligible for benefits.
