This person will perform routine tasks required to administer and execute people operations programs such as the employee experience, recruitment, compliance, and systems administration. Regular and reliable attendance is an essential function of this position.Essential Functions
Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions.Employee ExperienceIn collaboration with the People Operations team, create and maintain a positive work environment where employees feel valued and supported. Serve as a backup to support team members as needed. Support the Senior Director of People Operations. As directed:
- Identify areas for improvement in employee engagement. Come up with new ideas and help to adjust strategies.
- Perform customer service functions by answering employee requests and questions. Ensure MWA’s policies are properly communicated to employees and foster a strong culture that supports employee growth and well-being.
- Assist with processing onboarding and offboarding. Assist with the preparation of the performance review process. Scan, photocopy and email documents; perform other clerical/administrative functions.
Compliance & Systems AdministrationSupport the People Operations Systems and Compliance Administrator and People Operations. Help to ensure compliance, systems, benefits, and time off processes run smoothly and efficiently. As directed:
- Help to maintain databases related to credentialing and People Operations’ systems. Ensure accuracy, timeliness, and access to critical information. Monitor the PO email inbox daily.
- Help to monitor and ensure employee training compliance in a software application i.e., track employee accounts and deliver periodic reminders.
- Maintain employee files and ensure compliance with all federal and state regulations related to cloud-based personnel file management practices. Strictly adhere to confidentiality protocols, especially when dealing with sensitive employee data.
- Assist with the Commission on Teacher Credentialing (CTC) and California Department of Education (CDE) requirements and regulations related to credentialing, certifications, authorizations, and teacher assignment.
- Serve as a resource to employees concerning credential eligibility, requirements, and procedures.
- Help with MWA’s benefits program including enrollments, changes, terminations, COBRA, beneficiaries, disability, voluntary benefits, tuition remission, student loan repayment, FSA and commuter plans, 403b, CalSTRS, and any other benefit offerings.
- Assist with tracking employee time off/leave and uphold MWA leave policies. Monitor employee leave balances across various types of leave. Maintain accurate documentation of all leave requests, approvals, and related communications. Provide clear information and timely support to employees and management regarding leave policies and procedures.
RecruitmentSupport the Recruitment Manager and People Operations. Help to ensure the recruitment process runs smoothly and efficiently. As directed:
- Proof and post job descriptions on various online platforms.
- Review resumes and applications to identify qualified candidates. Conduct phone screenings and/or Zoom interviews to pre-qualify candidates.
- Coordinate interview times between candidates and hiring managers.
- Answer candidate questions, track application status and provide updates on the hiring process, help with timely communications throughout the recruitment cycle.
- Assist with JazzHR. Assist with interview materials, new hire paperwork, and onboarding procedures.

- Demonstrate knowledge of, and support, Making Waves Academy’s mission, core values, standards, competencies, and code of conduct outlined in the Employee Handbook.
- Participate in the school community – attending school competitions, performances, assemblies, and extracurricular activities. Some evening work and a few Saturdays may be required for staff training sessions.
Work Environment
- This job operates in an office and school environment and routinely uses standard office equipment.
- Some travel required for MWA related events, such as workshops or conferences.
Physical Demands
- While performing the duties of this job, the employee may be regularly required to talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, phone, and keyboard. The employee will frequently walk across the campus, participate in campus supervision duty, stand and sit for long periods of time.
- Specific vision abilities required by this job include close vision requirements due to computer work.
- Light to moderate lifting may be required.
QualificationsEducation and Experience
- Bachelor’s Degree and 3+ years related experience, preferably in a school setting.
- Experience in various aspects of the employee lifecycle, from recruitment and onboarding to employee relations, performance management, and training and development desired. Teacher Credentialing knowledge and experience is strongly desired, but not required.
- Experience using Google Suite and HR systems (e.g., HRIS, ATS), and tools for communication, document management, and reporting. Familiarity managing digital personnel files while ensuring compliance with data protection and security regulations is helpful.
