Job description: Responsibilities;1.Organize and maintain CEO agenda for business appointments:
a. Schedule & manage all business meetings
b.Schedule & manage government or high-profile meetings
c. Schedule & manage personal appointments
d. Schedule & manage social events participation
e. Greet visitors, announce visitors to the concerned department, accommodate visitors
f. Maintain the meeting / conference room booking calendar
g. Take & Draft minutes during meetings2.Maintaining CEO email account:
a. Manage CEO emails and notify important emails.
b. Serve as a liaison between CEO and Head of departments to ensure timely follow up & completion of agreed tasks
c. Managing CEO’s calendars and set up meetings3.Meetings and Events arrangements:
a. Schedule participation, prepare support documents as per CEO instructions and arrange venue booking and set up for internal and external meetings
b.Take & Draft minutes during meetings
c.Meeting minutes’ actions follow ups
d.Business trips and personal travel plans
e.Plan, Schedule & Execute the Business trips & Personal Travel Plans
f. Make the travel arrangements and other bookings (hotel, flight ticket, airport transfer bookings…) for CEO, self and agreed participants
g. Prepare event report for all events participated.4.Other Tasks:
a. Perform administrative task such as: preparing reports, creating spreadsheets, power point presentations, filing and data entry, word processing for internal and external corporate communication as per CEO, executive management and department heads
b.Acting as the point of contact among executives, employees, clients and other external partners
c.Managing information flow in a timely and accurate manner
d.Format information for internal and external communication – memos, emails, presentations, reports
e.Screen and direct phone calls and distribute correspondence
f.Organize and maintain the office filing system
g. Maintaining the current filing and database system, and looking for ways to improve current systems
h. Carry out any ad hoc requests as directed by the CEO
i. Managing all personal schedules of CEOQualifications Required
1.Bachelor’s Degree (preferably in Administration)
2.Executive Assistant Certification preferred.Min Experience:5 YearsSalary :AED 15000Temp/Perm::PermanentLocation :DubaiPosted Date:November 14, 2024
